Tournament Format 3 Games Guaranteed
Teams will be placed into pools (depending upon the number of teams in a division, it could be 3, 4 or more teams in a pool)

Teams will play 2 pool games and be seeded into a single elimination championship round.

** MAKING YOUR TEAM’S HOTEL RESERVATIONS **

Please follow the step by step instructions when making your Hotel reservations. Please be aware that the Indiana Heat secures large blocks of rooms at affiliated Hotels for your Team’s convenience. Teams are not required to stay in Tournament Host Hotels, but recommended that they do.

All Teams must complete a Housing Form (regardless whether you are staying at Hotels or commuting) -- Get Forms.

After Reviewing the list of Affiliated Host Hotels for this event please:

  1. HOTEL CONTACT: Call the Hotel at the number provided and ask to speak with the designated HOTEL CONTACT Person (listed for that hotel). If that specific person is not available please leave a voicemail for them – they will return your call. Provide the following information when leaving a voicemail – your name, team name, return number, date of interest and number of rooms you are interested in.
  2. HEAT TOURNAMENT TEAM : Identify your team as an INDIANA HEAT TOURNAMENT TEAM to ensure that you receive the designated room block and rate. If you don’t identify your team as INDIANA HEAT TOURNAMENT TEAM, often the hotel will not realize that there are rooms set aside specifically for the HEAT TOURNAMENT TEAMS and tell you they have no availability.
  3. VERBAL RESERVATION : Upon speaking with the Hotel Contact – make a VERBAL RESERVATION (this may require you to provide a credit card to hold a block of rooms for your team)
  4. BOOK AS A TEAM : ALL TEAMS MUST BOOK AS A TEAM – Do NOT book as individuals. A Team includes Coaches, Players, Parents and fans that wish to all stay together in the same hotel.
  5. SUBMIT ROOMING LIST : Both the INDIANA HEAT and the Host Hotels require each team to submit a Team ROOMING LIST prior to their arrival. The Rooming List can be found online by go to the Tournament Forms
  6. CONFIRMATION NUMBERS : Once the Hotel has received your rooming list they will provide you with your Room Confirmation numbers. Teams that do not submit their rooming lists by the indicated deadline may be in jeopardy of securing their rooms for the event.
  7. CANCELLATION POLICY : Each affiliated Host Hotel has their own specific cancellation policy. Please review this policy with the Hotel Contact Person when making your reservation.
  8. WEATHER CANCELLATION POLICY : Please check with the Host Hotels as to any special weather cancellation policies they may have in place.
  9. HOTEL COORDINATOR : The HOST HOTELS listed on the HEAT website have agreed to reserve large numbers of rooms for HEAT events because they are TEAM FRIENDLY and look forward to your stay with them. The HEAT wants all teams to feel welcome, safe and comfortable at the affiliated Host Hotels listed on our website. Anyone having any issues, problems or concerns prior to, during or post their stay at one of our Host Hotels should contact us immediately.

  10. TEAM COURTESY : Just as HEAT expects the best out of our affiliated Host Hotels, we expect the same courtesy from the teams that represent our organization at the Hotels. ALL Teams are required to be courteous, polite and on their BEST BEHAVIOR while staying at the Host Hotels.

    Event procedures
    1. ON-LINE ENTRY FORM - Each team must complete an on-line entry form/registration.  Once the Heat receives this registration, you will receive a confirmation e-mail from the Heat within 24 hours.
    2. DEPOSIT - In order to reserve a spot in a particular tournament, teams are required to pay a $ 50 non-refundable deposit.  This payment can be made on-line at PayPal (which is owned by E-Bay) at http://www.paypal.com and sending payment to payment@indianaheat.com.  If for any reason the division in a particular event is canceled, then the $ 50 fee will be refunded.
    3. PROOF OF INSURANCE - Each team is REQUIRED to provide PROPER proof of Team Insurance listing the Indiana Heat Sports, LLC as an ADDITIONAL INSURED prior to participating in an HEAT event. The Indiana Heat offers Team Season and Event Insurances. For further information, Insurance rates or assistance please contact the Heat Office @ 812-339-0853 or e-mail angie@indianaheat.com.
    4. ONLINE EVENT Roster - Each team is REQUIRED to submit an online EVENT Roster within thirty (30) days prior to the start of the event.
    5. WAIVER RELEASE FORM - Each team is REQUIRED to print off, complete and hand in to the assigned field director prior to the start of their first game an Indiana Heat Waiver Release Roster. Teams will not be permitted to start play without the completion of this Waiver.   Please go to our Tournament Forms for this Waiver/Release Roster.
    6. COPIES OF BIRTH CERTIFICATES - Each team's coach MUST keep copies of team players birth certificates with him at the games at all times and be able to present them upon request.
    Rules Please review our online HEAT Rulebook. This Rulebook is updated annually. All rules not mentioned- look under the National High School Federation rulebook as the next standard.

    Event updates Tentative schedules will be posted on the website several days prior to the start of the event. Once a schedule becomes official changes will only be made based on weather, loss of field, or any unforeseen situation that would require such.
